Service Administrator

SERVICE ADMINISTRATOR
The HVAC/R (heating, ventilation, air conditioning and refrigeration) Service Administrator role works with staff members who install, repair and maintain heating and air conditioning systems in both residential and commercial buildings. The Service Administrator will work directly with service and install technicians to schedule and dispatch calls and appointments. The HVAC/R Service Administrator often communicates directly with customers, vendors and suppliers to ensure accurate communication of job or project status and requirements.
PRINCIPLE RESPONSIBILITIES/DUTIES
Schedules, dispatches, directs and provides support for HVAC/R technicians to meet service demands and customers’ expectations
Initiates and follows through on all warranty claims
Reviews work orders, invoices and timecards for accuracy
Specifies and makes sure that required parts are ordered in a timely fashion to ensure work deadlines are met.
Works with Service Lead to ensure that all company and department policies are being followed by all HVAC/R technicians
Assist with vehicle maintenance program
Work with Project Manager on larger installation, start-up and commissioning projects; coordinates and directs a team of technicians
Member of the Health and Safety Committee representing the service department
Other tasks and responsibilities as required to maintain efficient department operations
MINIMUM JOB REQUIREMENTS
The HVAC/R Service Administrator should possess the following skills, characteristics and abilities:
Excellent customer service and sales skills
Five years HVAC/R related experience; or an equivalent combination of education and experience
Five years of Administration experience
The ability to work individually as well as a key member of a team
Exhibit a working knowledge and understanding of HVAC/R and Refrigeration industry
Excellent leadership skills to enhance team productivity while maintaining the current company culture
Excellent verbal and written communication skills
Proficient in MS Word, Excel, One Drive, Outlook
